Ending a Coaching Relationship
How you or a client ends coaching, what happens to billing, pending work and the message thread, who owns the data, and what happens if your Coach tier lapses.
A coaching relationship ends when you end it, when the client removes you, when their paid subscription to you lapses, or when your own Coach tier ends. Each path ends it the same way: your access stops and the client keeps their data.
Ending it yourself
Open the client's page and press End coaching at the top. The dialog spells out what follows; press End the relationship to confirm. The client can do the same from My coaches in their settings with Remove.
What happens straight away
- Your access ends. The client drops off your roster and you can no longer open their page, their data or their form-check videos.
- Billing stops renewing. A subscription they pay you stops renewing at the end of the period they have already paid for.
- Pending work is withdrawn. Adjustment proposals waiting for you are withdrawn. A program waiting for your review is discarded unless another coach with training access can review it. Weekly summary drafts you had not sent are deleted. Summaries you already sent stay with the client.
- Classes: the client leaves any upcoming class you run for your clients. Past classes stay in their history.
- The thread: you lose it. The client keeps it, read-only, and neither of you can send in it again.
Who owns what
Everything the client logged is theirs: workouts, food, weigh-ins, check-ins, form-check videos and their intake answers. It all stays in their account after you leave. Your private coach notes about them stayed hidden from the client throughout.
If you coach the same person again later, send a new invite. The relationship starts fresh: your notes and every per-client setting go back to their defaults, so record anything you want to keep before you end it.
When a paid subscription ends on its own
A client's subscription to you that Stripe cancels or lets expire ends the relationship exactly as if the client had removed you. A failed payment does not: while Stripe retries the card, the client stays on your roster and keeps their Pro access. Get paid through MuscleBuddy has the details.
If your Coach tier lapses
Cancelling Coach keeps your coach access until the end of the period you paid for. When it ends, your account goes back to a member account, and:
- every active coaching relationship you hold ends, the same way as above;
- each client's subscription to you stops charging at once and is set to cancel at the end of its period;
- every affected client is told, whether they paid you or were invited.
Your own training history stays in your account.
